If you work in an office-based environment, it’s likely that there are numerous things you can do to help the place operate more efficiently. Changing a few simple habits will not only benefit the environment, which has become a huge concern in recent years, but it will also help your employers save money on their utility bills and supplies. In most offices, printing and photocopying are still necessary, but unfortunately these machines are often used carelessly, leading to waste. Here’s some advice from a print management company to help you become more efficient when printing.

Smart Apps for Printers
Start by suggesting to your manager that they should invest in a printer that has “follow me” software to avoid abandoned print jobs. This is particularly valuable in environments where there are lots of printers and computers. Essentially, “follow me” software allows the user to scan their ID card or enter a pin number at a printer to confirm their print job, as opposed to printing it off at their desk and then potentially forgetting about it. This type of printing is also more secure because it reduces the likelihood of formal documents being misplaced or stolen.
“Follow me” printing might not be an option, but there are other things you can do to print more efficiently. For instance, try to make sure you always print a practise copy of a large job before you start. This will alert you of any errors at the beginning so that you don’t print off 100 copies, find out they’re incorrect and then have to start again. This would be a waste of ink, paper and energy. It’s also wise to start large print jobs in the evening, if you can, when the electricity is cheaper.
Smart Tips to Save on Ink
Go smaller
Making the font on a page smaller is a very simple way to limit print waste, as it will possibly reduce the volume of pages you’ll need. Printing in black and white rather than colour will also save money – because printing in colour can actually cost up to ten times the price of monochrome.
Go digital
Before starting a print job, consider whether or not you actually need to use the printer at all, or can you just go digital? The more aware you are about your printing practices the more efficient you will become.
Go low-res
You can go on econo-mode to save on toner. This helps save up on toner with minimal difference to your prints.
